Netic Technologies (Pty) Ltd

Last updated: 5 August 2026

1. Introduction

Netic Technologies (Pty) Ltd (“Netic Technologies,” “we,” “us,” or “our”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you:

  • Visit our website at netictechnologies.com (the “Website”);
  • Contact us to request a consultation, demo, or custom software project; or
  • Use software products we build and operate for you or your business, including our booking and client-management platform, DtailBase, and any related web or mobile applications (collectively, the “Services”).

This Policy is drafted with reference to South Africa’s Protection of Personal Information Act, 4 of 2013 (“POPIA”). If you access our Services from outside South Africa, other laws (such as the EU/UK GDPR or relevant US state privacy laws) may also apply to you, and we describe below how we aim to meet those standards as well.

By using our Website or Services, you agree to the collection and use of information in accordance with this Policy. If you do not agree, please do not use our Website or Services.

2. Who We Are

Netic Technologies (Pty) Ltd Ewelme Rd, Henley on Klip, Meyerton, 1962, Gauteng, South Africa Email: info@netictechnologies.com Phone: +27 79 750 1279

We are the “responsible party” (under POPIA) / “data controller” (under GDPR) for personal information collected through our Website and corporate communications. Where we build and host software for a client business (for example, a booking or CRM platform such as DtailBase), that client business is typically the responsible party/controller for its end customers’ data, and Netic Technologies acts as an operator/processor on their behalf, as described in Section 9.

3. Information We Collect

3.1 Information you give us directly

  • Contact and enquiry details: name, company name, email address, phone number, and any details you share when you request a consultation, demo, or quote via our Website, phone, WhatsApp, or email.
  • Project information: details you share about your business, goals, or requirements when scoping a custom software project.
  • Marketing sign-up details: your email address if you subscribe to receive offers or updates from us.
  • Communications: records of calls, WhatsApp messages, and emails you exchange with our team.

3.2 Information collected through our software products (e.g., DtailBase)

When we build or operate software on behalf of a client business, that software may collect, on the client’s instruction:

  • Client/customer names, contact details, and booking history;
  • Geolocation data, captured at the time a digital signature or booking check-in is made, for verification and indemnity purposes;
  • Photographs (e.g., before/after images) submitted as part of a booking or service record;
  • Digital signatures and indemnity/waiver form responses;
  • Staff and admin account information (names, roles, login credentials, permission levels) for team-management features.

3.3 Information collected automatically

When you visit our Website, we (or our service providers) may automatically collect:

  • IP address, browser type, device type, and operating system;
  • Pages visited, time spent on pages, referring URLs, and general usage patterns;
  • Cookies and similar tracking technologies (see Section 7).

4. How We Use Your Information

We use personal information for purposes including:

  • Responding to enquiries and providing quotes, consultations, and demos;
  • Planning, developing, testing, deploying, and maintaining custom software for our clients;
  • Operating and supporting hosted products such as DtailBase, including bookings, team management, geolocation-verified signatures, and photo/indemnity records;
  • Sending you marketing communications and exclusive offers, where you have opted in (you may opt out at any time);
  • Improving our Website, products, and services;
  • Maintaining the security, integrity, and proper functioning of our systems;
  • Complying with legal, accounting, or regulatory obligations.

5. Legal Basis for Processing (POPIA / GDPR)

We process personal information only where we have a valid basis to do so, which may include:

  • Your consent (e.g., subscribing to marketing emails, or a client’s customer consenting to geolocation/photo capture during a booking);
  • Performance of a contract with you or the business that engaged us;
  • Our legitimate interests in operating and improving our business and Services, provided this does not unreasonably override your privacy rights;
  • Compliance with a legal obligation.

6. How We Share Information

We do not sell personal information. We may share information with:

  • Service providers and sub-processors who help us deliver our Services (e.g., cloud hosting providers, email and communication tools, payment processors), under appropriate confidentiality and data-protection terms;
  • Our clients, where information is collected through software we operate on their behalf (e.g., DtailBase), since the client business owns and controls its own customer data;
  • Professional advisors (legal, accounting) where necessary;
  • Authorities, where required by law, court order, or to protect our rights, property, or safety, or that of others;
  • In connection with a business transaction (e.g., merger, acquisition, or sale of assets), subject to standard confidentiality safeguards.

7. Cookies and Tracking Technologies

Our Website may use cookies and similar technologies to remember your preferences, understand how visitors use the site, and support basic functionality. You can control or disable cookies through your browser settings; note that some Website features may not function properly if cookies are disabled.

8. Data Security

We implement reasonable technical and organisational measures designed to protect personal information against loss, misuse, unauthorised access, disclosure, alteration, or destruction — including access controls, encrypted transmission where appropriate, and restricted staff access. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Our Role for Clients Using Our Software (e.g., DtailBase)

Where a business uses software we have built or host (such as DtailBase) to manage its own bookings, staff, and customer records, that business is the responsible party/data controller for the personal information of its customers and staff. Netic Technologies acts as an operator/processor, processing that data only on the client’s documented instructions, and in accordance with a services agreement that includes appropriate confidentiality and security obligations.

If you are a customer of one of our clients (for example, you booked a service through a DtailBase-powered booking page), please refer to that business’s own privacy policy for information about how they use your data, and contact them directly to exercise your privacy rights. Netic Technologies will assist our clients in responding to such requests where required.

10. Data Retention

We retain personal information only for as long as reasonably necessary to fulfil the purposes described in this Policy, including to provide our Services, meet legal or contractual obligations, resolve disputes, and enforce our agreements. Retention periods for data processed on behalf of clients (e.g., within DtailBase) are generally determined by the client, subject to our services agreement with them.

11. Your Rights

Subject to applicable law (including POPIA and, where relevant, GDPR), you may have the right to:

  • Request access to the personal information we hold about you;
  • Request correction of inaccurate or incomplete information;
  • Request deletion of your personal information, subject to legal or contractual retention requirements;
  • Object to or request restriction of certain processing, including direct marketing;
  • Withdraw consent at any time where processing is based on consent;
  • Lodge a complaint with the Information Regulator of South Africa (or, where applicable, another relevant data protection authority).

To exercise any of these rights regarding information we hold as the responsible party (e.g., Website enquiries or marketing subscriptions), contact us using the details in Section 2. If your request relates to data held by one of our clients through a product like DtailBase, please contact that business directly, as described in Section 9.

12. Children’s Privacy

Our Website and Services are not directed at children, and we do not knowingly collect personal information from children without appropriate parental or guardian consent. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.

13. International Data Transfers

We are based in South Africa, and information may be processed or stored on servers located in South Africa or other countries where our hosting or service providers operate. Where we transfer personal information across borders, we take reasonable steps to ensure it receives an adequate level of protection, consistent with POPIA and other applicable laws.

14. Third-Party Links

Our Website may contain links to third-party websites or services (e.g., social media pages). We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies separately.

15. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will post the updated Policy on our Website with a revised “Last updated” date. We encourage you to review this Policy periodically.
